Extenuating Circumstances


What exactly are extenuating circumstances?


Personal extenuating circumstances are often described as problems or issues which students may face which prevent you from doing your work or from doing it to your normal ability. They are normally circumstances which are unforeseen and unpreventable meaning that you didn’t know that they were going to happen and obviously could not plan around it.
These circumstances are unfortunate and can often mean an interruption of a students’ focus on study or their ability to learn at detrimental times such as around exam times, or during or near a coursework/project submission date.
When an extenuating circumstance occurs which is out of a person’s control and a possible threat to their academic performance an EC1 form may be submitted.

How do I complete the EC1 Form and where do I submit?


Section A of the form needs to be completed in full. Any evidence in support of the student’s claim must also be submitted in full. Evidence such like a doctor’s note, counselor’s letter, or a death notice in case of bereavement can suffice as appropriate supporting evidence with such forms.
There are special procedures which apply in relation to a case of pandemic flu. This can be found on the University of Ulster Website using a special form available in the Portal.


Go to the My Studies tab and Examination Services channel. This form needs to be completed in addition to the EC1 form.

Claims for extenuating circumstance should be made at the time of when the circumstances themselves have occurred and should be submitted;
-No later than 5 days following an examination
-No later than 5 days following a coursework/project submission date


The completed form should be presented to the students’ Course Director except in the Faculty of Computing& Engineering where forms should be submitted to the school office and a receipt obtained.

What will happen to my form?
Once your form has been completed and submitted, the submission will be considered through the adequate channels and the outcome communicated to you.
